VERDE STUDIO POLICIES + TERMS

GENERAL STUDIO POLICIES

All clients must register a valid Verde MindBody client account, including liability waiver and applicable health history form to participate in or receive any of our services. All clients are responsible for disclosing health and medical conditions to studio staff (trainers, therapists, instructors) that includes but not limited to injuries, allergies, medications, or other medical information that may be pertinent to when receiving services or participating in training or classes at our studio. If clients choose to withhold pertinent medical information from studio staff, Verde and Verde staff will not be held liable for any reactions or injuries that are sustained.

 

MINOR PARTICIPATION

All clients under the age of 18 will need a minor consent form signed by a legal parent and/or guardian prior to participating in or receiving services at Verde. All persons under the age of 16 must have a legal parent and/or guardian present while the service is taking place.  Failure to have a legal parent and/or guardian present will result in refusal of service, and client will still be responsible for the cost of the session time reserved. 

Minimum age requirement for non-youth yoga classes is 14. 

Minimum age requirement for non-youth group training classes is 17. 

 

MASSAGE APPOINTMENTS + CANCELLATIONS

Massage appointments must be scheduled in advance. Massage appointments can be scheduled same day, and can be scheduled so in person, by phone, by text, through our website, or via the VERDE smartphone mobile app.

We require a minimum 24 hour early cancellation notice for all massage appointments. Any massage cancelled within less than 24 hours notice is subject to a late cancellation fee or use of a prepaid credit to cover the session.

No-showing any scheduled massage appointment will result full charge of that appointment or the associated pricing option will be deducted from the clients account or the credit card on file will be charged for the full cost of the session. PERSONAL TRAINING APPOINTMENTS + CANCELLATIONS

Personal training appointments must be scheduled in advance, and paid in full prior to first training session date.

Personal training packages that are purchased in a 3 month contract are granted 2 complimentary early notification reschedules each month, with notification being more than 24 hours before the schedule session time. Complimentary reschedules to not accrue or roll-over, and must be completed with at least 24 hours notice prior to the start time of the session start time.  All same day cancellations will result in either a cancellation fee or usage of a active prepaid pricing option from client account.  We require a minimum 24 hours for reschedule or early  cancellation notice for all personal training appointments. Any appointment that is cancelled within less than 24 hour window is not valid for reschedule, and will result full charge of that appointment or use of the associated pricing option or charge of cancellation fee.

Repeated tardiness to personal training sessions will be assessed by staff and trainer, and may result in loss of reserved training appointment day/time once the training package is fulfilled. PRENATAL + ONCOLOGY CONSENT

All clients who are pregnant or who are diagnosed/have recently had active cancer must complete a prenatal or oncology intake form prior to participation in or reception of any VERDE services.  Both the prenatal and oncology intake forms are at the front desk, and need to be completed prior to the service taking place.  Failure to inform the studio and complete the needed forms prior to the scheduled service will result in refusal of service, and client will still be responsible for the cost of the session time reserved. 

 

COMPLIMENTARY PERSONAL TRAINING 30 MIN CONSULTATIONS

At VERDE, we offer complimentary 30min personal training consultations with one of our Certified Personal Training team members, to help provide guidance for your fitness and health journey. Our complimentary consultations do require that we hold a valid debit or credit card on file to reserve the appointment. If you need to reschedule, we require a 6 hour notification for complimentary reschedules. In the event that you do not show up to your complimentary consultation, your valid card on file will be automatically charged with a $25 no-show/late cancel fee. Any late cancellation or no-show to the complimentary consult may be subject to the $25 fee.

 

HEALTH INTAKE FORMS

All clients are required to complete VERDE Organic Body’s Health History Intake prior to completion of any Services.  This Health History Intake form is located online at our website, and can also be competed on the iPad in the studio lobby.  Failure to complete this form prior to the scheduled service will result in refusal of service, and client will still be responsible for the cost of the session time reserved.

 

CLASS RESERVATIONS + CANCELLATION POLICIES 

We require advanced reservations for all classes. Clients can sign-in to classes via the website, the mobile app or in-studio. Waitlists are available for classes, and automatically updates as spots become available. When you sign up for the waitlist, you are held to the same class cancellation policies.  Any no-show to any scheduled group sessions will result in a late-cancellation/no-show fee being charged to the client’s valid credit card on file, or the associated pricing option will be deducted from the clients account for all package holders.

 

MEMBERSHIP + AUTO-PAY POLICIES

All payments dates are either the 1st or the 15th of each month, and we will charge the card on file automatically on these dates for the cost of your membership or auto-pay. We require in 30 days in Studio notice to cancel any month to month memberships or auto-pays. Auto-pay membership sales are final and non-refundable. 

A 30 day in-studio notice is required for membership cancellation or holds, and a specific cancellation form must be completed to be considered notice of cancellation. Clients may put their membership or auto-pay on hold for free for up to 2 months per year with 30 day in-studio notice.  The payments automatically resume after the 2 month period ends, unless client contacts the studio and cancels the membership with enough notice to waive any further charges.

 

PHOTO POLICY

VERDE Organic Body reserves the right to take and use photos and videos from VERDE held events for any/all marketing campaigns used on sites or social media accounts run by VERDE, without limitation or obligation.  This is included in our liability waiver, and must be agreed to for participation in services at VERDE.

 

LOST PROPERTY

All lost property at VERDE is kept at the studio for two weeks.  After two weeks have passed, all lost items will be removed from the studio.  If you know that you have lost something at VERDE, contact the front desk and they will put your name on the item(s) to be picked up by the client.  

 

GIFT CARDS

VERDE Organic Body sells two types of gift cards: massage service gift cards and non-massage gift cards.  Gift cards must be purchased for the service you would like to gift, and cannot be transferred to other services.  This is done for tax purposes, and exceptions cannot be made.

STUDIO CANCELLATION + RESCHEDULING POLICIES

Here is everything you need to know about rescheduling, early cancelling or late cancelling session at VERDE.

What is an early cancellation?

An early cancellation is any massage appointment/personal training session/group training session/yoga session that is  cancellation at least 24 hours prior to the start time of the appointment or session.

What is a late cancellation?

A late cancellation is any massage appointment/personal training session/group training session/yoga session that is cancellation less than 24 hours prior to the start time of the appointment or session. Any late cancellations are subject to either a late cancellation fee or using prepaid session/appointment credit on client account. Late cancellation fees will be charged to the valid client credit card on file. 

 

What is a valid reschedule for massage and personal training?

A valid appointment/session reschedule must be completed within the early cancellation time-frame of, prior to 24 hours of the appointment/session start time. Unlimited reschedules are permitted for massage appointments. Personal training session reschedules are limited to 2 per month. 

 

What happens if I cancel same day for massage or personal training?

If you cancel same day for massage or personal training, you are subject to a late cancel fee or you have the option to use a valid prepaid credit that is active on your client account.

What happens if I no-show to an appointment or session without contacting the studio first?

All no-shows to an appointment/session result in a cancellation fee or use of a prepaid session on the account. If you do not contact the studio the day of your no-show, we reserve the right to use discretion between choosing a prepaid session that instead of charging the card on file.

Why do we charge cancellation fees or use prepaid session for late cancels or no-shows?

We have a same day cancellation fee in place or use prepaid session for late cancels or no-shows so that our staff get compensated for the time you reserved.  If you cancel without 24 hour notice, we are less likely to be able to fill the session with another appointment. 

What happens if I cancel same day for a group training or yoga session?

If you are a package holder, we will use a prepaid class session from your account automatically, unless you request same-day to pay the cancellation fee instead of using your prepaid session credit.  If you are an unlimited membership holder or a non-member/non-package holder, we will charge automatically charge the cancellation fee to the your valid credit card on your client account.  

Group Training/Yoga cancellation fee is $12.

How does the massage membership work?

The Membership is an auto-debit that is charged to the card on file once per month, on the 1st or 15th of the month, for the cost of one or two prepaid sessions at a discount of the regular price of a drop-in massage ($99 60 Min Massage, $139 90 Min Massage). These sessions never expire with an active massage auto-pay membership, and roll over until they are used within the active membership duration.

 

Can I share my membership with others?

While VERDE Memberships limited a single client, you can gift individual sessions to anyone else for a $10 Massage Transfer Fee.  This can be arranged ahead of time or taken care of at time of service.

 

How do I cancel my massage membership?

All VERDE Massage Memberships are month-to-month and automatically renew every month.  You can cancel your membership autopay at anytime with 30 days in-studio notice.  There is a membership cancellation form that you need to fill out in the studio in order for the cancellation to be processed. Memberships cancelled within less than 30 days of future scheduled auto-pay processing date will be charged for the final auto-pay amount preceding termination of your membership.

 

Are there any membership hold options?

We offer a free 2 month membership hold per calendar year for all autopay clients. We require a 30 day in-studio notification for membership holds. There is a membership hold form that you need to fill out in the studio in order for the hold to be processed. You will receive an email once the hold begins confirming that the membership is on hold, and reminding you of the automatic date that payment will resume.

 

After I use all my prepaid sessions, how much will I pay if I come in again before my next auto-pay?

After you use all of your prepaid sessions on your account, you still receive your member rate for all additional massage visits per month.  With an active massage membership, you never pay more than member rate for any massage sessions. You member pricing discount expires upon termination of your membership. 

 

How much does it cost to become a member?

The Membership is free to join!  All you are responsible for is the monthly auto-pay each month on the 1st or 15th of the month. You must sign up in-studio for an auto-auto-pay memberships. 

 

When does my membership expire?

The VERDE Massage Memberships are month-to-month agreements, that auto-renew after 12 months.  If you need to end the membership, you will need to follow the 30 day notification policy to cancel.

 

What are my membership options?

We offer 1 visit per month and 2 visit per month memberships.  This determines the number of visits you pre-purchase on your auto-pay date each month.  The rates are:

 

1X/Mo. 60min — $82

2X/Mo. 60min — $160 ($80 each session)

1X/Mo. 90min — $129

2X/Mo. 90min — $230 ($115 per session)

How do the personal training packages work?

A client purchases a package of sessions (4 pack or 3 month package) and they are then scheduled out for as many sessions as have been purchased.  Package purchase allows for the client to have a prepaid session to cover any late cancelled sessions in lieu of cancellation fees in the event of a missed session.  With 3 month package purchase, each client is allowed 2 complimentary early-cancel reschedules per month.

 

How do I schedule my personal training sessions?

We allow a client to schedule out for as many sessions that they have pre-purchased.  This means that if you have a 3 month package, we will schedule you out for 3 months worth of sessions, if you purchase a 4 pack you get scheduled for 4 sessions at a time. With individual session purchase, you get schedule you out one session at a time.

 

What is the difference between 4 packs and 3 month packages?

Our studio policy is that we only schedule you out for as many sessions that have been pre-purchased.  

 

With purchase of a 4 pack, we do not hold your session time past 4 visits at a time, meaning another client could potentially reserve your ideal time in a future date that you are not already scheduled. 

 

With purchase of a 3 month package, clients gain the benefit of automatic reservation for their designated ongoing appointment times/days for all future dates, until the client has terminated their personal training program, by not continuing to purchase additional personal training packages. Another benefit of purchasing a 3 month package is that clients receive 2 complimentary early-cancel reschedules per month.  

 

The price difference between a 4 pack and 3 month package is where 4 pack sessions are priced at $64 per session and the 3 month packages are priced at a discounted rate of $59 per session. 

 

How do Personal Training Introductory promotions work?

A client may purchase a 3 month package for their first package for personal training sessions at Verde.  If there is a promotional voucher (ex: free massage, or free 5 class pack) associated with your personal training package purchase, the promotional voucher expires at the end of the 3 months unless stated otherwise.  We do allow clients to take advantage of the intro rate if they have purchased one 4-pack previously.

What is happy hour Personal training?

Happy Hour Personal Training takes place Monday-Friday from 11:00 am to 3:00pm.  During this time, we offer 30 minute sessions for $35 per session (or you can purchase a 4 pack for $140) before tax.  

 

How long will my Sessions stay on my account?

The amount of time that a clients personal training sessions stay on the account depends on which package was purchased.  If a client purchased a 3 month package, they have 4 months to use the sessions. A 4 pack of personal training sessions is designed to be used within 30 days.

What are my 3 month package options?

We offer three 3 month package options; 12, 24 & 36 for 60 minute personal training sessions. Our 12 pack is designed for one session per week, the 24 pack is designed for 2 sessions per week and the 36 pack is designed for 3 sessions per week.  Purchasing a 3 month package discounts the single session price to $59.

What are my 4-pack package options?

We offer 4 pack 60 minute personal training sessions and of the 30 minute Happy Hour Sessions.  The 60 minute sessions are priced at $64 per session, and the 30min sessions are priced at $35 per session.  These are the rates:

 

4 Pack 60min — $256 + tax

4 Pack 30min — $140 + tax

 

Semi-Private + Team Training Personal Training

All of our personal training sessions are semi-private and designed with a team training approach. Our sessions are semi-private, which means that there are up to 2 clients per 1 Personal Trainer during a 60 or 30 minute personal training session. Our team training approach allows our clients to schedule and reschedule with all of our available trainers. Our team of Personal Trainers work closely together to communicate each clients specific training program and progress, to provide a seamless experience ensuring our clients progress and success.

What is the difference between a package and membership auto-pay?

The difference between a package and an auto-pay is when you pay, how long you have to use the sessions paid for, and how much is paid at a time.  Packages are like a punch card within your Verde client account, and are used over a period of time. We offer 5 and 10 packages for all classes, which you have a certain amount of time to use them before they expire.  Membership auto-pays are an unlimited monthly class pass for Group Training & Yoga ($149 +tax) or Unlimited Yoga ($109 +tax). Membership auto-pays are charged monthly on the 1st or 15th of each month to your valid credit/debit card on file.  You will be charged each month until the auto-pay is cancelled with 30 day in-studio notice, by submitting a membership cancellation form in studio.  

 

How do I cancel my group training auto-pay?

We offer two membership auto-pay options for Group Training/Yoga, as well as 5-packs and 10-packs for all of our Group Training/Yoga classes.  You can purchase either an Unlimited Group Training/Yoga Membership Auto-pay, which can be used for all of our normally scheduled classes, or you can purchase the Unlimited Yoga Membership Auto-pay, which can be used only for Yoga and the 30/30 classes.  The rates are:

 

Unlimited Group Training/Yoga — $149 + tax

Unlimited Yoga — $109 + tax

5-Pack — $89 + tax (Exp. 5 months)

10-Pack — $179 + tax (Exp. 10 months)
